How to edit a PDF online: text, images, forms and signatures
Choose the right PDF editing workflow: add text or images, fill form fields, place a signature, or convert existing paragraphs to Word for revision.

The practical answer
To add new text or images, use the PDF editor. To change existing paragraphs, convert a text-based PDF to Word and review the conversion. For a scanned document, extract the text with OCR first. Filling form fields, placing a signature and redacting information are different jobs and need different tools.
First decide what “edit PDF” means for your document
A PDF is usually a finished page layout rather than a word-processing document. The letters you see may be individually positioned text, an image of a scanned sheet, or a mixture of both. An editor that adds a new text box does not necessarily change the words already stored on the page.
Before choosing a tool, identify the actual job: adding a note, correcting a paragraph, completing a form, placing a signature, or removing private information. Choosing by the task prevents a common mistake: covering old content with a new shape and assuming the original information has gone away.
Add new text and images with the online PDF editor
Open Fileixa’s Edit PDF tool, select your PDF and use the page preview to position the elements you want to add. The implementation creates text and image overlays and merges them into the selected pages. It is useful for a reference number, a short note, a logo or an image that was missing from the exported document.
Download the edited copy and inspect every changed page at normal reading size and when zoomed in. Check placement, line breaks, spelling and whether any new element covers something important. Keep an untouched original so you can start again if the result is not what you intended.
Fileixa does not provide direct rewriting of the original paragraphs through this editor. Adding text over an existing sentence is not the same as replacing that sentence inside the PDF.
Change existing paragraphs through a Word conversion
If the original Word document is available, edit that source and export a fresh PDF. If only a text-based PDF remains, PDF to Word is a practical route to an editable copy. Select a sentence in your PDF reader first: if words can be selected individually, the document contains a text layer.
Conversion is a reconstruction, so examine tables, columns, fonts, headers, footnotes and page breaks before making further changes. After editing, export or convert the Word file back to PDF and compare its page order and important text with the original. A conversion should not be described as guaranteed identical formatting.
For scanned PDFs, recognize the text before rebuilding the layout
A scanned page is often just a photograph. The PDF editor can add visible elements on top of it, but it cannot turn the original photographed letters into editable paragraphs. OCR recognizes words from the image and gives you a starting point for a new document.
Fileixa’s OCR tool currently uses English recognition and returns text, not a copy of the original PDF with an added searchable text layer. Proofread the result, particularly names, dates, currency amounts and reference codes. Blur, skew, faint printing and language differences can produce errors. Recreate the layout separately when the final document needs editable structure.
Fill a form or place a signature with the appropriate tool
A PDF with interactive fields can be completed using the form tool. A flat or scanned form may have no fields: in that case the editor can place visible text in the right locations. Open the downloaded result again to verify that required values remain visible.
Fileixa’s signature tool places a visual mark that you draw, type or upload. It is not a certificate-backed digital signature and does not verify the signer’s identity. Ask the recipient which kind of signature they accept instead of assuming that every PDF signature workflow is interchangeable.
Remove private information with redaction, not an overlay
A dark rectangle in an ordinary editor can hide words visually while leaving them selectable, searchable or extractable underneath. Use the redaction tool when the intention is to remove content rather than annotate a document.
Check the downloaded result in a separate viewer. Search for the removed terms and try selecting or copying text from the affected area. Review other pages, attachments and metadata for information you also intend to remove. Visible page redaction alone is not a complete privacy review.
A short check before sharing the edited file
Check the actual downloaded file, not only the web preview.
- Confirm the page count, orientation and order.
- Inspect each added element for placement and spelling.
- Reopen completed form fields and verify their values.
- Check whether the recipient needs a visual or verified digital signature.
- If the file is too large, compress the final version and check readability again.
Frequently asked questions
Can Fileixa edit the existing text inside a PDF?
Its PDF editor adds new text and image overlays. For existing paragraphs, use the original document if available or convert a text-based PDF to Word and review the result.
Can I edit a scanned PDF?
You can add visible text or images on top of the scan. To rebuild its original words as editable content, extract and proofread them with OCR first.
Is adding a black box the same as redacting a PDF?
No. An ordinary overlay can leave the original content underneath. Use a redaction workflow and verify the downloaded file by searching, selecting and copying text.
